Grand North Immigration Services is a leading Immigration firm in Canada. Our service portfolio includes various options for immigrants who are planning to visit, study, work and settle down in Canada.
This position focuses on assisting clients with their case management, analyzing their immigration circumstances, paperwork processing and keeping them informed on the status of their application.
Main Responsibilities
Case Management
- Working closely with the Immigration Consultant(s) in all aspects of an immigration case file, including – drafting submissions, letters, business cases, forms, and supporting documents
- Managing intake process with highly effective use of technology-based client tools
- Conduct initial client assessments to identify appropriate immigration options and proactively anticipate potential complexities.
- Utilize strong knowledge in Canadian immigration programs to navigate through all aspects of case preparation from inception to conclusion
- Work efficiently and quickly with clients to complete questionnaires and application forms
- Collect documentation in line with document checklists prepared by Grand North Canada and/or IRCC/Service Canada/Provincial Immigration bodies.
- Complete immigration forms for assigned cases based on client eligibility using required software and attaching all necessary documentation in proper order.
- Compile and review all information and documentation required for temporary residence and permanent residence applications
- Co-ordinating application submissions using online government platforms/ Authorized Representative Portals.
Record Management
- Ensuring that the appropriate client records are established and maintained and that key correspondence and documentation is saved into the client e-file.
- Organizing client documents and maintaining an electronic filing system
Communications
- Communicating regularly with manager(s) to build a strong relationship while focusing on business needs and ensuring that review meetings are held regularly
- Communicating regularly with Client(s), responding to enquiries in a timely manner, ensuring that the communication is comprehensive and accurate, and managing expectations where needed.
- Applying proven experience and strong analytical skills in preparing and drafting regular correspondence, and ensuring the client receives appropriate news up-dates and alerts.
Time Management and Escalations
- Using exceptional organizational skills to meet or exceed client expectations
- Conduct follow-up of case to obtain missing documentation, including employment and education documentation, to confirm receipt of notices from IRCC or Service Canada, to remind client of pending deadlines or to ascertain outcome of application.
- Effectively managing time prioritizing, identifying and addressing critical tasks, while remaining flexible to changing priorities.
- Monitoring application deadlines and completing assigned work within the appropriate timeframes.
- Monitoring visa expiry dates and alerting the client appropriately.
- Using sound judgement in assessing client case risk and escalating potential issues to senior management in a timely manner.

- Working with professionalism, honesty and integrity maintaining confidentiality at all times and to model the company values.
- Ensure confidentiality of all client-related documents and information
Articles Publication
- To contribute to articles for publication in newsletters, external publications
- Ability to write immigration-related content for social media use
Experience and Education
- You have a Bachelor’s degree
- You have a minimum of 1+ year of similar client management experience
- Fluent, verbal and written in English
- Knowledge of Canadian immigration will be considered an asset
- You have the ability to work with different technology platforms and good knowledge of the Microsoft Office Suite
- You have a keen interest in continuous process improvement and implementation
